VACANCY : BACN OPERATIONS MANAGER

Summary of Responsibilities

To oversee all aspects of the day-to-day operations and management of the BACN Head Office, Membership Enquiries and Services, Regional Activities, Events, Marketing, Administration and Financial Reporting.

To manage and supervise BACN Head Office administrative staff on a day-to-day basis, and remote part-time employees as and when necessary.

To support the BACN CEO on specific projects as and when required.

Duties and Responsibilities

To provide the administration and management of BACN Head Office to include the following:

  • General office management
  • Manage the BACN website, including development and maintenance
  • Manage staff workload, performance and well-being
  • Manage HR processes including recruitment, induction and assessment
  • Take minutes and update action sheets for Executive and Head Office team meetings

To manage the BACN financial systems and services in conjunction with the BACN Accountant and Treasurer, to include:

  • Preparation of financial information and reports for the Board in association with the CEO and Treasurer
  • Liaising with Accountant to manage invoicing and payments on behalf of the BACN

To oversee the BACN Regional Activities and support programme with the Events Manager, to include:

  • The organisation and marketing of Regional Group meetings, liaising with Regional Leaders, presenters, and venues
  • Managing financial and administrative aspects o fthe Regional network
  • The organisation of ad hoc meetings and events

To oversee the management of BACN Membership with the Membership Manager, to include:

  • Communications
  • Member database upkeep
  • Development of member services

To deal with day-to-day management of BACN Strategic and Network Partnerships and other interested parties, to include:

  • Development and maintenance of Partnership Agreements, including financial arrangements
  • Work with BACN Business Consultant to identify new Partners, advertising and Conference packages
  • Being main point of contact for Partners in communications and finance arrangements
  • To take and manage advertising bookings from third parties

To co-ordinate all aspects of the development, delivery and management of the BACN Annual Conference and Exhibition to include:

  • Liaising with venue, supplier and logistics teams
  • Managing exhibition and exhibitor requirements and enquiries in conjunction with BACN Business Manager, and Exhibition Logistics Manager
  • Preparation and distribution of Conference marketing and merchandise materials
  • Organisation of speakers and presenters
  • Preparation of post-event reports

To oversee the BACN’s basic marketing and communications function to include:

  • Co-ordination, compilation and distribution of member newsletter and mailshot campaigns
  • To develop and manage the BACN social media activity including its Facebook page and groups, Twitter and LinkedIn,  working with external social media company
  • To co-ordinate the issue of BACN Press Releases and other communications to the media

To provide support to the BACN CEO and Board to include:

  • Preparation and distribution of the BACN Board meetings papers in association with the CEO
  • Organisation of BACN Board meetings
  • Organising the BACN AGM
  • Providing support to the Chair and Management Board in response to enquiries from third parties
  • To ensure that all BACN Quality Management and Governance procedures are in place and to keep up to date all BACN Policy, Process and Company House documents

Supervisory Role

The BACN Operations Manager will oversee the activities of the following full-time administrative members of staff:

· Events Manager

· Membership Manager

in addition to remote, ad-hoc team:

· BACN Business consultant

· Conference Salesperson

· Exhibition logistics manager

PERSON SPECIFICATION FOR BACN OPERATIONS MANAGER:

· Management experience, preferably in a busy small business

· Experience of Microsoft Office programmes

· Basic financial recording and management skills, preferably with experience of Quickbooks Online, Sagepay and Paypal

· Experience of marketing communication and use of social media

· Ability to communicate with a wide range of people

· Willingness to work flexibly as part of a small team

· Willingness to learn and undertake additional training

· Willingness to travel and attend BACN and industry events, representing the BACN, sometimes at weekends

REPORTINGARRANGEMENTS

The BACN Operations Manager reports directly to the BACN Chief Executive and de facto to the BACN Board Directors.

LOCATION: BACN Head office, Bristol

SALARY: £25,000 - £30,000 DOE
